2.2 Through the Pulse Fire Platform
When authorised clients, employees, and contractors log into and utilise the authenticated Platform environment, we collect and process operational and compliance data:
Account Credentials: Individual or corporate business email addresses used as usernames to secure access, along with passwords.
Identity & Workflow Tracking: Names, mobile phone numbers, and job titles of authorised users. Mobile numbers are utilised strictly to dispatch critical automated SMS alerts, system reminders, and unique URLs to log isolation and de-isolation events.
Compliance Audit Data: Full names, license numbers, and work details of contractors interacting with building systems. The platform permanently captures identity markers tied to task completions, panel isolations, and workflow approvals to generate legal compliance logs.
Photographic Evidence: Digital images uploaded by field technicians as proof of completed works or equipment status, which may incidentally capture visible work environments.
3. How We Use Your Information
We use the information we collect for targeted operational purposes:
To Respond to Enquiries: We use information submitted on our website forms to provide product details, schedule platform demonstrations, and manage customer service queries.
To Deliver the Platform Service: We process platform accounts, profiles, and event logs to run compliance workflows, manage contractor tracking, and generate property safety analytics for our clients.
To Maintain System Integrity: We use automated activity logs to protect the platform, maintain bulletproof compliance audit trails, and ensure user accountability across building networks.
Marketing Communications: Where you have explicitly opted in via our website, we may send you occasional product updates or industry news. You can unsubscribe at any time.
4. Data Storage, Sovereignty, and Security
Hosting Residency: All operational data, telemetry, and account profiles processed by the Platform are hosted securely on Amazon Web Services (AWS) infrastructure located strictly in the Sydney region (ap-southeast-2), Australia.
Security Controls: We implement robust technical protections, including TLS 1.2+ encryption for data in transit, AES-256 encryption at rest, role-based access management, multi-factor authentication (MFA), and proactive vulnerability scanning.
Data Breach Notification: We adhere strictly to the Notifiable Data Breaches (NDB) scheme under Australian law. In the event of an incident involving a likelihood of serious harm, we will immediately notify affected individuals, corporate client organisations, and the Office of the Australian Information Commissioner (OAIC).
5. Data Retention
Website Marketing Enquiries: Personal data collected via marketing forms or website analytics is retained only as long as necessary to fulfil your request, or up to 26 months for standard traffic analytics.
Platform Compliance Logs: Because our platform tracks regulatory building safety events, system approvals and identity markers embedded in historical compliance logs, fire panel isolation workflows, or audit trails are securely retained for a minimum of 7 years, matching Australian statutory property record-keeping requirements.
Deactivated User Profiles: Standard platform account profile data is deleted or anonymised within 90 days of profile deactivation, subject to the retention of the overarching compliance logs noted above.
6. Information Sharing and Disclosure
We do not sell, rent, or trade your personal information to third parties for marketing purposes. We only share information with:
Client Organisations: Platform activity data, compliance signatures, and contractor details are shared directly with the corporate client organisation managing that specific property asset.
Trusted Service Providers: Third-party vendors who provide essential infrastructure, infrastructure hosting (AWS), or administrative support tools to help us run our business. These partners are contractually bound to lock down your data.
Legal & Regulatory Authorities: Where required to do so by law, court order, or to satisfy statutory fire safety compliance audits.
7. Future AI Capabilities & Analytics
We may roll out advanced artificial intelligence or machine learning capabilities (such as our FireIQ product features) to enhance predictive building analytics.
No automated AI decision-making or model profiling is applied to personal information.
Client data will never be utilised to train baseline AI algorithms for other portfolios without explicit, informed opt-in consent.
